AMC Response Times: What an SLA Should Actually Promise

"Four-hour response" can mean a technician arrives, a call is logged, or someone answers the phone. Only one of those is worth paying for.

Every commercial AMC quotation mentions response time. Almost none define it. That ambiguity is worth money to the contractor and costs you exactly the amount of downtime you were trying to avoid when you asked for a contract in the first place.

Three different numbers get called "response time"

Call acknowledgement. Someone answers and logs the complaint. This is what many contracts actually promise. It is nearly worthless on its own.

Attendance time. A technician is physically on site. This is the number that matters, and the one to insist on.

Restoration time. The unit is cooling again. This is the number your business actually cares about, and it depends on parts availability as much as on the contractor’s scheduling.

A contract that says "4-hour response" and means acknowledgement has given you nothing. Ask which of the three it is, and get the answer in writing.

Sensible numbers for the Mumbai belt

PremisesAttendance targetRestoration target
Office, normal hours8 working hours24 hours
Office with a server room4 hours, 24x78 hours
Retail showroom4 working hours12 hours
Restaurant or cafe4 hours during service hours8 hours
Clinic or diagnostic centre4 hours, 24x78 hours
Warehouse or non-critical spaceNext working day48 hours

These are achievable in Thane and Dombivli with a contractor who has local technicians rather than a call centre that dispatches from Mumbai. If a quote promises two-hour attendance across a twenty-unit site, ask how many technicians are based within five kilometres.

Why parts availability decides everything

Attendance is a scheduling problem; restoration is a stock problem. A technician who arrives in four hours and then orders a PCB with a five-day lead time has not solved anything.

Ask two questions: which fast-moving spares does the contractor hold in stock, and what is the lead time for a compressor and a PCB. A serious commercial contractor will name the parts and the days. One that says "depends on the company" is telling you the truth about its capability.

For a critical site, the practical answer is a small spares holding on site — a capacitor set, a fan motor, one PCB for the most common model. It costs a few thousand rupees and removes most of the restoration risk.

The clause that makes an SLA real

Without a consequence, an SLA is a wish. Two mechanisms are common and both are reasonable.

Service credits. A percentage of the annual fee is credited for each missed attendance beyond the target, capped at a stated maximum. Two to five percent per incident is normal.

Free call-out. Each missed attendance is followed by a free visit, or the next quarter’s fee is reduced.

Either works. What does not work is a contract with targets and no consequence — in practice it performs exactly like a contract with no targets.

What to log yourself

The contractor’s report is not your only record. Keep a simple log: date reported, time reported, time attended, time restored, unit affected, part replaced. Two minutes per incident.

After six months that log tells you whether the contract is working, which units are the problem, and whether the next renewal should be comprehensive or preventive. It is also the evidence you need if you ever want to invoke a credit clause, because a claim without timestamps becomes a discussion about memory.

Uptime guarantees: read the definition

Some contracts offer a 98% uptime guarantee. Ask what counts as downtime — is it per unit, per system, or per building? A site with ten units where one is down for a week is 90% by unit count and 100% by "the building still has cooling".

For most commercial premises, per-unit availability is the honest measure. Insist on it being defined that way, with the measurement period stated, or the guarantee will be met no matter what happens.

Key takeaways

  • "Response time" can mean acknowledgement, attendance or restoration — make them define it.
  • Four-hour attendance is realistic for retail, clinics and server rooms in this belt.
  • Restoration depends on spare-part stock, not technician speed.
  • An SLA with no service credit or free call-out has no teeth.
  • Log reported, attended and restored times yourself; it is your only evidence.

Frequently asked questions

What is a reasonable AC AMC response time?

Four working hours for retail and clinics, eight for a normal office, next working day for non-critical space. Anything faster needs technicians based locally, so ask how many are within five kilometres.

Should an AMC include a penalty clause?

Yes. Service credits of two to five percent per missed attendance, or a free call-out, are standard. Without a consequence the targets are decorative.

What does 98% uptime mean in an AC contract?

It depends entirely on the definition. Insist on per-unit availability over a stated period, otherwise one failed unit in a ten-unit building reads as full uptime.
